The World Wide Web e-mail directory and the DPA 1998


For many years, having an e-mail address @cam.ac.uk (e.g. sqpr55@cam.ac.uk) meant that the user concerned was included in the Cambridge University world-readable e-mail search directory in the World Wide Web.

In anticipation of the need to comply with the Data Protection Act 1998 by 24th October 2001, e-mail addresses will only be included in the central Cambridge e-mail directory if the user has agreed to their address being published worldwide.

It is possible to give permission for your e-mail address to be published in the directory from the Engineering Department Teaching System, CUS, Thor and Hermes. Instructions follow on how to do this. If you have accounts on systems elsewhere in the University, it may also be possible to publish your address in the directory from these; please contact your administrators for further details.

Note that whilst it is now possible to have an e-mail address @cam.ac.uk and not be included in the searchable e-mail directory, it is essential to have an @cam.ac.uk address if you wish to be included in the directory.

All new users of Computing Service and Engineering Department facilities are now being asked to indicate whether or not they wish to be excluded from the directory.

NB: Until 24th October 2001, the directory will include everyone except those who have specifically requested that their address is ex-directory (in the case of new users, there may be a short delay in implementing requests to be ex-directory). When the transition period ends on October 24th 2001, only those who have indicated that they wish their address to be published in the directory will be included.

How to publish your e-mail address in the searchable directory

Using the Web interface

User of the Hermes mail store or the Engineering Department mail system can use the web interface to set their cam directory preference. When Engineering users use web interface they will need to put in their Computing Service user identifier, their Engineering password and check the box that indicates they are an Engineering user. For most Engineering users the Computing Service identifier is the same as their Engineering identifier, but some older Engineering accounts have a different one: anyone unsure about their Computing Service identifier can check it by using the "aliasid" command on the teaching system, or by asking the operators (Magpie uses Computing Service identifiers). Once authenticated you can then choose whether to publish or hide your address.

From the Engineering teaching system, CUS or Thor

Log in to the appropriate system. For Engineering log in at a DPO terminal or telnet to a teaching system machine (e.g. club.eng.cam.ac.uk).

At the prompt type cammail, which shows you the various options for managing your mail. Then type one of the following commands:

After your selection has been acknowledged, log out in the usual way (e.g. type exit).

These commands cannot be made through mail clients such as Mulberry or Eudora. They must be made by logging in to one of the systems above.

For Hermes users

Hermes users can either use the web interface or they can use the Hermes menus.

To use the Hermes menus, log in to Hermes using a Telnet program. At the main menu, select option 5 CONFIG, then option 4 @CAM, then either option 4 PUBLISH to opt in to the directory, or 5 HIDE to opt out of the directory. After your selection has been acknowledged, exit Hermes in the usual way.
